Your Mission (Should You Choose to Accept It):

As the Executive Assistant to our Band Manager, you'll be the heart of our Band Office operations. Think of yourself as the ultimate right-hand hero, providing stellar administrative support, solving problems like a pro, and keeping everything running smoothly. Confidentiality is your middle name, and flexibility is your game!


What You'll Be Rocking:

Administrative Support Superpowers:

Be the ultimate support hero to the Band Manager and Chief and Council.
Keep our filing systems in superhero order (both electronic and manual).
Craft Band Council Resolutions (BCRs), letters, and other important docs with style.
Juggle typing, faxing, photocopying, and mailing like a circus performer.
Handle correspondence, draft letters, reports, and documents with finesse.
Be our information vault by maintaining top-level confidentiality.
Collaborate with the clerical team to complete projects and follow up like a detective.
Protect our data with regular database backups.
Stay sharp with workshops, professional publications, and networking.

Meeting Coordination Magic:

Mastermind the scheduling, coordinating, and implementing of all meetings for the Chief and Council.
Prepare agendas, compile supporting documentation, and ensure materials are ready before meetings.
Record minutes, follow up on action items, and support all working committees with flair.

Communication Champion:

Be the friendly voice and face of our organization as the primary point of contact.
Redirect calls to the right people and keep the Council in the loop.
Bridge communication gaps between the Chief, Council, Band Manager, and external stakeholders.
Prepare and distribute updates and communication materials like a pro.

Research and Reporting Rockstar:

Dive into research, compile stats, and gather data for special reports and summaries.
Assist in budget management and support financial reporting.
Scheduling and Travel Coordination Wizard:
Keep the Band Manager's weekly schedules and monthly calendars organized.
Plan and organize travel arrangements like a seasoned travel agent.
Policy and Procedure Guru:
Interpret and apply policies to support decision-making processes.
Ensure compliance with organizational policies and procedures.

Other Cool Duties:

Take on other related duties that align with the nature of the job.

Qualifications & Experience
What We're Looking For:

Minimum Grade 12 education; post-secondary education in administration or a related field preferred.

Proven experience in an office environment, particularly in an administrative or executive support role.

Excellent communication, organizational, and interpersonal skills.

Strong time management, planning, problem-solving, and decision-making abilities.

Proficiency in computer applications, including MS Office Suite.

High level of confidentiality and discretion.

Valid driver’s license and access to a vehicle.

Clear Criminal Records Check.
