As Projects Administrator, you will be responsible for supporting a team of Project Estimators, Superintendents and Project Managers in the administration of Wacor's tender submissions and projects from conception through to completion.
As a part of our team, you’ll have the opportunity to develop your skills in the civil construction industry while supporting our team to maintain compliance with project KPI’s and deliverables, contractual obligations and regulations.

As a Project Administrator, here’s what the week-to-week looks like:
Project Support
- Coordinating meetings, develop and distribute project documents, schedules and meeting summaries
- Compile and coordinate issuance of project insurance, permits, safety and license documentation
- Maintain a document management system to register, organize, maintain, issue, and distribute the project documentation, submittals, and records on local construction projects with budgets exceeding $5 M
- Collaborate with engineers, construction managers and customers and clients
- Assist Project Managers in project closeout tasks, lessons learned evaluation and final reporting
Tender Support
- Research, identify and communicate new civil construction opportunities for possible tender submission
- Coordinate the detailed content/ requirements to be included as part of the tender documentation with the relevant procurement team members
- Prepare Bid Bond applications, obtain quotations from sub contractors and project insurance
- Prepare and format tender submissions in response to private and government opportunities; coordinate the tender submission process under the direction of the senior estimator
Document Control And QA/QC
- Accountable for executing and maintaining document control processes
- Contribute and support the review and maintenance of project support templates
- Champion and lead the effective implementation of operational best practices, risk management strategies, and quality assurance / quality control activities
- Support proper planning of the work to effectively manage risk and ensure compliance with project requirements that align with project specific deadlines
Qualifications & Experience:
What you bring to the team:
- Minimum completion of High School Diploma; Post-Secondary certificate/diploma from an office management or technical program is considered an asset
- 1-3 years of experience in a project administration role (in construction related industry would be an asset)
- Experience supporting and working within multidisciplinary teams and projects
- Able to communicate professionally – verbally and in writing – with clients, team members, design professionals, contractors, and suppliers
- Highly proactive and organized, with the ability to set priorities, follow-up and meet deadlines
- Comprehensive word processing, editing and proofreading skills
- Ability to produce quality documents quickly and to company standards using templates
- Adaptable to shifting responsibilities and tasks
- Experience navigating multiple conflicting and tight deadlines
- Strong Microsoft Office skills including Microsoft Word and Excel
- HeavyBid experience considered an asset
