ABOUT US:
The Campbell River Hospice Society provides compassionate end-of-life and grief support to individuals of all ages through the support of trained volunteers and generous donors.
POSITION:
The Volunteer Coordinator is responsible for coordinating and maintaining all the aspects of the volunteer program, event coordination and community awareness. As the Volunteer Coordinator, you will report to the Executive Director.
Qualifications & Experience:
Three years of recent related experience or an equivalent combination of education, training and experience.
A certificate, diploma or degree in volunteer management, non-profit management or a related social services field preferred, but not required.
Knowledge & Abilities
Ability to provide a high level of care and compassion;
Ability to deal with staff, volunteers, and community members effectively and professionally including excellent written, verbal and computer communication skills (MS Office, Excel, Power Point and Access, etc);
Physical ability to carry out the duties of the position and ability to work evenings and weekends when required with limited notice;
Ability to work efficiently both independently and as part of a team in a fast-paced environment;
Ability to organize and coordinate events;
Demonstrated understanding and appreciation of volunteering and volunteer program management standards;
Willingness to adhere to the Mission and Values of the Campbell River Hospice Society while demonstrating confidentiality and professional representation of the organization.
Volunteer Program
Actively coordinate volunteer recruitment and hiring processes by advertising, interviewing, assisting with training, matching with appropriate roles, providing orientation, ongoing support and evaluation of the volunteer experience to ensure volunteers remain engaged and reliable;
Assist and participate in all Volunteer Education Classes;
Maintain accurate and updated records and data of all volunteers regularly;
Coordinate, support and lead all volunteers during organization events;
Organize and participate in volunteer recognition programs and special events;
Develop and maintain relations with other volunteer organizations;
Collaborate with other staff to assess and meet the needs for volunteer services;
Manage volunteer policies, procedures and standards of volunteer services;
Events
Collaborates with the Executive Director for the planning of all events;
Coordinates logistics and assumes responsibility (prior, during and post) for events of any size and type;
Sources, negotiates and liaises with event suppliers, partners and external speakers;
Coordinates communications with event exhibitors, volunteers, committees and sponsors;
Sets up, monitors and updates event ticketing/registration system(s);
Coordinates event materials, marketing materials, sponsor collateral and signage;
Maintain an excellent social media presence prior and post events;
Recruits, schedules and directs a team of event volunteers for full event execution;
Tracks and monitors event-related budgets and contracts;
Provides post-event analysis, budget reports, contest/event marketing information and gathers feedback through event surveys;
Works to create and update a comprehensive turn-key event manual which covers management, administration, communications, marketing and execution of CRHS events;
Schedules and prepares regular event update meetings.
Community Awareness
Represents the organization at all promotional and recognition events including presentations when requested;
Builds relationships in the community to implement the organization’s mission; and
Performs other duties as requested or required, in the sole discretion of the CRHS.
REQUIREMENTS/OTHER
Valid driver’s license and vehicle required; and
Criminal Record Check required.
BENEFITS
All overtime hours are repaid by time in lieu; and
2 weeks holidays after 1 year of employment.
