Bilingual Family Separation and Reunion Assistant - Maternity Fill
Administrative
o Keep an adequate supply of up-to-date information packages & other material for distribution.
o Maintain FS&R files, database, and Outlook contacts
o Make client outreach calls/email as necessary and enter information into data base.
o Monitor volunteers who assist or coordinate services & activities.
o Providing orientation, training, supervision and support for Volunteers.
o Work with other coordinators and volunteers to organize and prepare for activities.
o Assist other programming staff with administrative and facilitation tasks associated with other programming.
o Manage operation of DSC library.
o Keep parcel wrapping station stocked and tidy.
o Monitor stock and donations for Care Package cabinet.
o Assist with the planning and organization of activities, briefings, etc. for families.
o Compile monthly statistics.
o Check for upcoming relevant Wing and community events to keep families informed.
o Manage tidiness, maintenance and organization of DSC.
Secondary Duties
Secondary duties define teamwork at the Comox MFRC and ensure that each staff contributes towards achieving our common goals. Duties may include, but are not limited to:
o Providing support to other MFRC staff as required.
o Participating actively in the organization and running of special events (Family Splash, REXSPO, Volunteer Appreciation Events, etc.).
o Attending and participating in staff meetings, professional development activities and staff training.
o Keeping personal office space hygienically clean, free of clutter, garbage and tidy at all times.
o Assist with the cleaning of common areas (Recycling, staff room, supply storage, FS&R storage, classrooms, etc.), along with participation in facility maintenance days.
o Running errands (purchasing supplies, picking up mail, etc.)
o Occasional work related travel.
o Other related duties as assigned by the Executive Director.
Qualifications & Experience:
Related Degree / Diploma / Certificate or two years related experience
English and French language essential.
Strong oral and written communication skills, excellent time management skills with the ability to multi-task in a fast paced environment.
Administrative experience in a non-profit organization.
Exceptional organizational, interpersonal and customer service skills
Strong computer skills (MS Word, Access, Excel & Publisher)
Workshop facilitation skills
Knowledge or experience with the Military Community would be an asset
Willingness to work flexible hours
