The opportunity
We are looking for our next phenomenal team member for the role of Client Service Administrator. Reporting to the Administrator Supervisor, this role will be highly customer-service focused and require a warm, professional presence. As the cornerstone of our front office, this person will be a natural at managing priorities, paying attention to the small details, and providing excellent service to clients and the Alitis team. The ideal candidate will be someone with a can-do attitude, a collaborative demeanour, and a goal to grow in the financial industry.
Your work will be varied and will often have competing priorities. This role will interact daily with clients and other stakeholders, and the ideal candidate will thrive in a fast-paced environment and expertly handle the fluctuating workloads.

A day in the life…
● Manage daily client communications by phone and email
● Provide efficient, timely administrative support to the portfolio management team
● Coordinate client appointments and other office-related services
● Process client documentation, including opening accounts, non-financial updates, pension transfers, estate work, and corporate accounts
● Process client orders and trade execution with 100% accuracy
● Take ownership of record maintenance and data reconciliation through CRM software, trading systems and reporting systems
● Provide outstanding customer service in all interactions with both internal and external stakeholders, clients, and vendors
● Ad-hoc administrative tasks as required by the office or portfolio management team

Qualifications & Experience: 
At least one full year working in the financial services industry or similarly regulated industry
● Confidence to speak with clients, colleagues and vendors in person, by phone or by email
● Excellent customer service skills
● Experience working with Microsoft Office products, including Microsoft Teams
● Prior working experience with CRMs and/or trading and reporting systems
● Past experience with Salesforce specifically will be considered an asset
● Desire to pursue additional designations (i.e. CIM, CFP, CFA or LLQP) in the financial services industry will be considered an asset
● Excellent organizational and time management skills, with the ability to work to tight deadlines in a fast-paced environment
● Ability to problem solve, use good judgement, and maintain confidentiality
